Job Summary:

The Senior Procurement Coordinator will lead all of the purchasing, receiving, reordering, and work order database management for YCC, and will pursue cost savings for all items purchased while assisting the Maintenance Department as needed with any other repairs, projects, etc.  

Essential Job Functions:

  • Maintain the database for daily work orders
    • Daily review of Hot/Rush parts ordered
    • Track all parts needed for all open work orders
    • Validate/verify parts inventory for all parts used on work orders
    • Review uncompleted work orders to verify current status and print date
    • Generate and send out daily maintenance reports to department supervisors
  • Planning
    • Review all scheduled Work Orders with the Maintenance Supervisors. Develop and implement a plan for assuring parts are ordered and delivered in a timely manner to allow for required repairs
    • Pull appropriate parts for each scheduled work order and deliver both parts and WO to the work bench of the person responsible for the completion of the WO
    • Regularly and timely update the work order database so the information is current and accurate
    • Monitor the status of all work orders and determine the availability of parts, the scheduling of maintenance, and the downtime required
    • Review the production schedule to assure the appropriate machines (those not scheduled to run) are on the weekend maintenance schedule and have the parts and supplies needed to perform the work indicated on the open work orders
    • Closely monitor arrival dates for parts and, if possible, expedite delivery dates as needed.
  • Maintain the Preventive Maintenance (“PM”) Schedule
    • Review and close out PM work orders daily
    • Validate/update times and parts used for PM
    • Maintain weekly operator PMs and provide to supervisors
    • Meet regularly with machine operators to discuss any issues and obtain relevant information on their respective machines and relay all relevant information to the Maintenance Supervisors
    • Work with operators/crews to improve PM lists and acquire tools necessary to complete work
    • Review PM backlog report and work with Scheduling to get all PM accomplished by due date
    • Generate and distribute new PMs daily
    • Work with Maintenance Supervisors to create new and/or update existing PMs with the goal of continuously improving the PM program
    • Convert any PMs not in the PMC system into proper format and enter PMs into the system
    • Schedule third party service technician PM work, order associated parts for repair, coordinate the repair time with Scheduling and Maintenance Supervisors, and verify that work is completed in its entirety
  • Lead the Parts Inventory Function
    • Receive and tag parts as necessary
    • Put parts in their respective storage locations and organize/label locations as needed
    • Maintain and validate inventory of all parts and perform scheduled inventory counts
    • Review reorder alerts and set reorder quantities
    • Maintain all storage locations, keeping parts organized and in their respective locations
    • Stage parts and verify that all parts are here for scheduled work orders when received and then communicate that information to the Maintenance Supervisors
    • Assist with parts research for repair work and identify part numbers for reordering
  • Budgeting
    • Assist in the preparation, implementation and monitoring of the repair and maintenance budget
    • Prioritize ordering and make decisions based on period budget allowances
    • Report budget status to Engineering as requested
